Data Management: Dynamic PDF's Explained

ICOTS is a tool for processing Interstate Compact cases, tracking movement, and facilitating communication between states. It is not intended to replace a state’s case management system.

PDF forms can be dynamically generated from ICOTS activities, reflecting the latest information related to a supervised individual's location or the compact designee. Other details specific to the activity will remain constant.

For example, when a Transfer Request is submitted, it includes an address. If the supervised individual's address is updated in ICOTS (via subsequent activity or directly on the profile), the PDF generated will reflect the updated address. However, the original address is not overwritten; historical address information can be found under the address tab or in a detailed audit report that can be requested by the state's Commissioner.

States that wish to retain information as it appears when submitted, should develop a process for saving those forms in their proprietary case management system.
