FAQ: Compact Office Functions

Frequently asked questions regarding the function and role of compact office users in ICOTS.

I am a compact office user who is processing an incoming activity, I have an option to delegate to a supervisor or assign to a PO. What’s the difference between Delegate and Assign?

  • Compact Office users processing an incoming activity may either assign it to themselves, forward it to another member, send it back**, delegate it to a supervisor, or assign it to a PO user. Assignment gives the case and activity to the user to complete. Delegation transfers the authority to assign an activity to another user. Therefore, delegating to a supervisor does not assign the activity it only gives that user the authority to assign the activity to a subordinate user.
  • NOTE: Compact offices should NOT utilize the 'Send Back' functionality to communicate with another state because it does not nullify the due date for a response (it will appear overdue even though action can not be taken). Instead, use 'WITHDRAW' to nullify the due date or to request the other state to correct the activity.

How do we assign an approved Request for Reporting Instructions (RI) to the appropriate supervisor or PO?

  • Compact Office and PO Supervisor users can use the 'Manage Case Load' function within the 'User' Tab. The user in the Compact Office who completed the Request for Reporting Instructions Reply will initially be assigned the case until it is reassigned. That user or another Compact Office user can then reassign it to the appropriate field user through the 'Manage Case Load' feature.

If we have outgoing pending cases in our Compact Office and want to enter them into ICOTS instead of making our locals do it – how do we accomplish this?

  • Compact office users have the same rights as POs. New requests can be entered by Compact Office staff using the 'Assistants' tab.
